Setting up clients (Multi-Client view)

For accountants — how to add and organise client workspaces under your account.

Available on the Professional and Firm plans for users with the Accountant role.

The Multi-Client view lets a single accountant log in once and see every client workspace they manage. No more logging in and out of each client.

Adding a client workspace

You have two paths:

Path A — Client invites you

  • Your client creates their own Ledgable workspace.
  • They go to Settings → Team → Accountant access.
  • They enter your email and click Send invite.
  • You receive an email; click Accept. The client workspace appears in your Multi-Client list.
  • This is the standard path because the workspace remains owned by the client.

    Path B — You create on their behalf

    For new clients with no existing books:

  • From your accountant home page, click + New client workspace.
  • Fill in the client's business name, slug, and contact email.
  • The workspace is created with you as the owner. Set the client as a co-owner via Settings → Team.
  • This is convenient for onboarding but the workspace ownership defaults to you. Transfer ownership to the client once they're set up.

    Your accountant home page (the default landing page when you log in with multiple client workspaces) shows:

  • Attention queue — items needing action across all clients, ranked by urgency.
  • Client list — each client workspace with status indicators (last reconciled, BAS lodgement countdown, AR ageing, AP overdue).
  • Quick switch — type to filter, click to jump into a workspace.
  • Per-client roles

    Each client workspace has its own role assignment. You can be Owner of one and View-only of another. The role determines what you can do inside that workspace; it does not limit your visibility on the home page (you can always see all your clients in the list).

    Adding a bookkeeper to your practice

    If you employ bookkeepers, they should each create their own Ledgable Partner Program account. You then invite them to specific client workspaces via Settings → Team in each workspace. Practice-level user management (assigning bookkeepers to client portfolios) is on the roadmap but not yet shipped.

    Removing a client

    When a client leaves:

  • Open their workspace.
  • Settings → Team → Accountant access → Remove yourself.
  • The client retains all data; only your access ends. If they later return, they re-invite you.

    Billing

    Client workspaces are billed under the client's subscription, not yours. Your Partner Program subscription is separate and covers the multi-client tooling itself.
